1. About Saathi360

Saathi360 is a cloud-based Software-as-a-Service (SaaS) platform operated by Saathi360 ("Company", "we", "us"). We provide business management software including Point of Sale, Inventory, Accounting, HRM, and related tools to registered businesses ("Tenants").

2. Acceptance of Terms

By creating an account, you agree to these Terms & Conditions, our Privacy Policy, and any applicable plan-specific terms. If you do not agree, do not register.

3. Account & Tenant Responsibilities

• You are solely responsible for all data entered into your tenant account
• You are responsible for all business activities, customer relationships, payments, deliveries, returns, and disputes within your business
• Saathi360 is only a software tool — we do not participate in your business transactions
• You must keep your login credentials secure and not share them with unauthorized persons
• You are responsible for compliance with all applicable local, state, and national laws including GST, labor laws, and data protection regulations

4. What We Provide

• Cloud-hosted business management software with 99.5% uptime target
• Secure data storage with encryption and regular backups
• Regular software updates and new features
• Technical support via help desk
• Multi-device access (desktop, mobile, tablet)

5. What We Do NOT Provide

• We do NOT process payments between you and your customers
• We do NOT handle physical delivery of goods
• We do NOT guarantee business outcomes or revenue
• We do NOT provide legal, financial, or tax advice
• We are NOT responsible for data entered incorrectly by users
• We are NOT liable for business losses due to software downtime

6. Data Ownership & Privacy

• All business data you enter remains your property
• We will never sell your data to third parties
• We access your data only for providing the service and technical support
• Data is stored on secure servers in India
• You can request data export or deletion at any time
• Upon account termination, your data will be retained for 90 days before permanent deletion

7. Payment, Subscription & Refund Policy

• Every new business gets a 30-day free trial on Basic, Standard and Premium plans — no payment, no card, full features. Custom plans are admin-priced and do not include a trial.
• Paid plans are billed yearly in advance (one-time payment for the full 365-day period). The paid year begins on the date the first payment is confirmed.
• All prices shown are exclusive of applicable GST (currently 18%); GST is added at checkout and the tax breakup appears on the invoice. Eligible GST-registered businesses can claim the GST paid as Input Tax Credit.
• A GST-compliant tax invoice is issued for every paid subscription and is permanently available in your Account & Billing section.
• Failure to renew leads through a documented lifecycle: 7-day grace, then 90 days of read-only data-export access, then suspension. Your data is preserved at every stage.
• We reserve the right to change pricing with 30 days advance notice; existing paid subscriptions are honoured at the price on the invoice until the end of their billing period.

7.1  30-Day Free Trial Replaces Post-Payment Refunds

• Every new business gets 30 days of full plan access at no cost on Basic, Standard, or Premium — no payment, no card, no commitment. Use the trial to validate the product on your own data.
• You can convert to paid at any point during the trial. The moment payment is confirmed, your paid year begins from that date.
• If you don't pay by the 30th day, your account locks for operations (POS, billing, customers, storefront) but your data stays intact and you can pay later to unlock.
• Once payment is confirmed, the subscription is locked in for the full 12-month period and is non-refundable. The trial IS your evaluation window.
• Renewal payments, plan upgrades, and Custom plans are also non-refundable. Custom plans don't include the trial — they are admin-priced and term-committed per the written agreement.
• Goodwill refunds for billing errors (duplicate charges, account compromise, etc.) are handled by our internal billing team. Email [email protected] with the invoice number and details.

The 30-day free trial is offered in good faith by VENSYAM BUSINESS SYSTEMS (OPC) PRIVATE LIMITED. To prevent abuse, we deduplicate trial signups by GSTIN, the PAN derived from the GSTIN, and registered phone number. Repeated signups by the same business identity will not receive a fresh trial.

8. Prohibited Use

You must NOT use Saathi360 for:

• Any illegal business activity
• Storing or processing illegal content
• Attempting to hack, reverse-engineer, or disrupt the platform
• Sharing your account access with competing businesses
• Mass data scraping or automated abuse of APIs

9. Account Suspension & Termination

• We may suspend your account for violation of these terms
• We may suspend accounts with overdue payments (grace period: 15 days)
• You may cancel your account at any time from your dashboard
• Suspended accounts can be reactivated upon resolution of the issue

10. Limitation of Liability

To the maximum extent permitted by law, Saathi360 and Saathi360 shall not be liable for any indirect, incidental, special, or consequential damages arising from the use of our platform, including but not limited to loss of data, loss of business, or business interruption.

11. Governing Law

These terms are governed by the laws of India. Any disputes shall be resolved exclusively in the courts of Hyderabad, Telangana.

12. Changes to Terms

We may update these terms from time to time. We will notify you via email and in-app notification at least 15 days before any material changes take effect.

5. Data Security

• All data is encrypted in transit (TLS/HTTPS) and at rest
• Regular automated backups with point-in-time recovery
• Access controls with role-based permissions

• Two-factor authentication available for admin accounts

6. Data Retention

• Active accounts: data retained as long as the account is active
• Cancelled accounts: data retained for 90 days, then permanently deleted
• Backup data: retained for 30 days after deletion
• Legal/compliance data: retained as required by Indian law
