Chase the shop dues you are owed

List every unpaid or part-paid bill, see who owes the most, and follow up with a statement or a reminder.

Steps

  1. Open Accounts → Receivables. Outstanding Receivables lists every bill with money still due, with Total, Paid and Balance.
  2. Click Balance in the table header to bring the biggest dues to the top, or pick a name in Customer to see only that buyer's bills.
  3. The Aging column reads Current or the days past due, and the row colour matches the legend above: Current, 1-15 days, 16-30 days, 30+ days.
  4. Click a buyer's name to open their Dashboard, or a bill number to open that invoice.
  5. Send a statement: on the Dashboard click Ledger → Share / PDF → Send via WhatsApp or Copy Share Link.
  6. Excel downloads the list and Print prints it. A bill drops off this list the moment it is fully paid.

Good to know

Owner: once WhatsApp is connected in Settings, Manage notifications & reminders → Load pending customers lets you tick buyers and Send reminders — about one message a minute on the QR link, all within minutes on Official WhatsApp, and at most once in 3 days per buyer.
Due on this report is the bill's credit due date, else its delivery date, else the bill date. The Receivables tile on your dashboard counts only bills with a credit due date, so the overdue counts can differ.
What you owe suppliers is the mirror page: Accounts → Payables. Its Ageing strip splits it into not due, 1–30, 31–60, 61–90 and over 90 days overdue, with a by-supplier table.

Words used

WordMeaning
TotalThe bill amount.
PaidWhat has been received on it.
BalanceWhat is still due — Total minus Paid. Only bills above ₹0 are listed.
DueThe bill's delivery date, when it has one.
AgingCurrent, or the number of days past the Due date. The legend bands them as 1-15, 16-30 and 30+ days.

A reminder is skipped for a buyer with no phone number, one who has opted out, and one who was already reminded in the last 3 days; the list says which of the three it was. To have a reminder go by itself once a bill is past its due date, switch on Automatic payment reminder in Notification settings.
