Set up your bank, cash and petty cash accounts

Add each place your business keeps money once. Billing, receipts, payments, expenses and payroll all use the same accounts.

Steps

  1. Open Money or Money Accounts in the menu and click Add account.
  2. Choose Bank, Cash or Petty cash, then type a Display name. Enter the Opening balance (₹) and As of date, or leave the balance at 0 to start fresh.
  3. For a bank, fill Account number, IFSC and Bank Name. Add a UPI ID if you want payment QR codes.
  4. Under Defaults & roles, pick what it is used for, such as Show on invoices & payment QR, Default for receipts or Default for payments. Then click Create account.
  5. Click View on an account to see its statement and balance, and download it as Excel or PDF.
  6. To shift money between your own accounts, click Move money. It is a transfer, not an expense or income.

Good to know

Check the name, type, account number and IFSC before you save. Once an account has a transaction they lock, so the books stay correct. The UPI ID can still be changed.
If the real money doesn't match the books, open the account and click Adjust. It posts a dated entry with your reason; it never quietly changes the figure.
An account with transactions can't be deleted. Archive hides it from the lists and keeps its history.
